1. The Managed ChatBot Service: What We Provide

When you opt for the Managed ChatBot Service, the ChatBeacon team handles the heavy lifting of the integration:

  • Custom Workflow Building: We design and build the conversational logic and decision-making workflows tailored to your knowledge base and business needs.

  • Complete Platform Setup: We configure the chatbot within the ChatBeacon platform, including escalation paths to your live operators.

  • Content Management Training: We provide comprehensive training to your Chat Admin and team on how to manage, update, and maintain the chatbot's content and responses.

2. Required Pre-Launch Steps (OpenAI Account)

To enable the chatbot service, you must first establish your own account with the OpenAI Platform, which powers the AI models.

You must register an account to generate the necessary API keys for the integration:

The OpenAI Platform operates on a Pay As You Go pricing model. You must link a valid payment method to your account to ensure the API service remains active.

Note: ChatBeacon does not manage or charge for your OpenAI API usage; all costs associated with the AI model usage are billed directly by OpenAI.

3. Connecting the API Keys in ChatBeacon WebAdmin

Once your OpenAI Platform account is ready and billing is configured, the Chat Admin will connect the service to ChatBeacon.

Chat Admin Instructions:

  1. Retrieve your unique API Key from your OpenAI Platform account dashboard.

  2. Log in to the ChatBeacon Management Portal (WebAdmin).

  3. Navigate to WebAdmin > AI Integrations.

  4. Select the OpenAI Platform integration option.

  5. Enter the API Key you retrieved from your OpenAI account.

4. Final Setup, Testing, and Launch

After you provide the API keys, the ChatBeacon team takes over to finalize the deployment:

  • Full Setup: We implement the pre-approved chatbot workflow and configuration across your platform.

  • Test Page Validation: We set up a private test page, allowing your Chat Admin and team members to thoroughly test the chatbot's functionality and responses before it is exposed to customers.

  • Go-Live: Only after your team has signed off on the testing will the new chatbot be launched live to your website visitors.
